Sharing

Send a link, not an attachment.

From attachments to mobile viewing: share in fewer steps with links, QR codes and WhatsApp.

Delivery doesn't have to start with a download.

A recipient who wants to review a document should not have to manage files first. A sharing link takes them straight to the document: open the link and view it in the browser.

This is particularly useful for someone reviewing a proposal on their phone or opening a document during a meeting.

From desktop to phone in one step.

The viewer's QR code provides a way to open the current document on a phone. Scan it with the camera to continue in the mobile browser, without emailing yourself a copy.

A good sharing flow meets the recipient where they are.

The same idea applies to WhatsApp. Copy the sharing link and paste it into the conversation. A brief description alongside it helps the recipient understand what they are opening.

Consider access as well as ease of sharing.

A link being shareable does not mean it should be open to everyone indefinitely. Consider the document's purpose, access duration and the context given to the recipient together.

When sharing a proposal, include its name and context. Check the access settings before sharing sensitive content. Make a final viewing check on the type of device the recipient will use.
